Terms & conditions

Definitions

"Booking" means any confirmed reservation of studio space, equipment, or services.

"Client" means the individual or entity responsible for the booking and payment.

"Event" means any workshop, mastermind, private function, launch, or gathering exceeding 10 guests.

"Session" means any photography, videography, podcast, or content creation booking.

"Guests" means any individuals present during the booking, including attendees, crew, vendors, models, or visitors.

"Studio" means the SELR Studio premises, including all equipment, furniture, props, and fixtures.

"Minor" or "Child" means any person under the age of 18 years.

Payment terms

Standard Bookings (Sessions)

Full payment is required at the time of booking to secure your session. No partial payments, deposits, or holds are accepted unless otherwise agreed in writing.

Event Bookings (Over $1,000)

For event bookings exceeding $1,000, SELR Studio may offer a payment plan at its discretion. A 50% deposit is required to secure the date. The remaining balance is due 14 days prior to the event date. Failure to pay the balance by the due date may result in cancellation, with the deposit forfeited. The date is not secured until the deposit is received. SELR Studio reserves the right to release unpaid dates without notice.

Payment Methods

Payment must be made by card at the time of online booking, via bank transfer, or through the "Pay Now" button on your invoice.

Late Payment

A 10% late fee applies to any invoice unpaid after the due date. Continued non payment may result in debt recovery action and exclusion from future bookings.

Cancellations & rescheduling

Cancellations made more than 7 days before the booking are eligible for a full refund or one complimentary reschedule subject to availability.

Cancellations made between 48 hours and 7 days before the booking are eligible for a 50% refund or one reschedule within 30 days.

Cancellations made less than 48 hours before the booking or no shows are not eligible for any refund or reschedule.

Once a session has commenced, no refunds, credits, or partial reschedules will be issued. All reschedule requests must be made in writing and approved by SELR Studio. For events, deposits are non refundable for cancellations made less than 14 days before the event date.

Studio access & time management

Booking time includes setup and pack down. For example, if your booking is 9am to 11am, you must arrive at 9am and vacate by 11am. Early access or late departure without approval will be charged as overtime. Clients must arrive on time. Late arrivals do not extend the booking period. SELR Studio reserves the right to end bookings that exceed their allocated time to accommodate subsequent clients.

Bump in & bump out

Additional time for setup or pack down outside of booked hours is available at $125 plus GST per hour, billed in hour increments. Bump in and bump out time must be requested and confirmed in writing prior to the booking. This time is charged separately and is not included in standard booking rates.

Overtime

Overtime is charged at $180 plus GST per hour, billed in full hour increments. All overtime must be pre approved in writing where possible. Unapproved overtime may result in additional charges, penalties, or refusal of future bookings. Overtime is subject to availability and may not always be possible due to subsequent bookings.

Booking types

Photography & Videography Sessions

Studio is hired for content creation purposes including photography, videography, and filming. Client is responsible for their own equipment unless studio equipment is hired. Props and furniture may be used but must be returned to original positions.

Podcast & Audio Recording

The podcast suite is available for audio and video podcast recording. Clients must handle all equipment with care and report any faults immediately. No food or drink is permitted near podcast equipment. Sound levels must remain reasonable and not disturb other studio users or neighbouring premises.

Events & Workshops

Maximum event capacity is 30 guests in the Runway Studio and 50 to 60 guests in the Entire Studio, unless otherwise agreed in writing. The Client (event host) must remain onsite for the entire duration of the booking. The Client is responsible for managing all guests, vendors, and third parties. The Client must communicate studio rules to all attendees prior to arrival. SELR Studio reserves the right to refuse entry to guests exceeding the agreed capacity.

Catering, food & beverage

Light catering is permitted for events with prior approval. The Client is responsible for all food preparation, serving, and cleanup. The Client must ensure no food or drink damages studio surfaces, equipment, or props. All food waste and packaging must be removed at the end of the booking. Hot food requiring cooking appliances must be approved in writing prior to the booking. Any staining, spills, or damage caused by food or drink will incur cleaning or replacement fees. For standard sessions including photography and podcast, food and drink are permitted in designated areas only and must not be brought near equipment, the cyclorama wall, or studio backdrops.

Cleaning fees

A $300 plus GST cleaning fee applies if the studio is left in an unacceptable condition, including but not limited to spills, stains, or residue on floors, walls, or surfaces, rubbish or food waste left behind, excessive mess requiring additional cleaning, and furniture or props not returned to original positions.

Conditional Cleaning Fee Waiver (Events Only)

For approved events, SELR Studio may waive the cleaning fee provided the following conditions are met. All rubbish must be bagged and placed in external bins. No food or drink spills may be left behind. All furniture must be returned to original positions. The studio must be left tidy and damage free. If these conditions are not met, the full $300 plus GST cleaning fee will be charged post event. SELR Studio's assessment of cleanliness is final.

Cyclorama wall

The cyclorama wall is a premium feature and is only included when specifically quoted and paid for. Unauthorised use of the cyclorama wall will incur a $150 plus GST fee. A $150 plus GST repainting fee applies if the wall is scuffed, marked, or requires repainting due to client use. No props, furniture, or equipment may be placed against the cyclorama wall without prior approval. Shoes must be removed or covered before stepping onto the cyclorama. Tape, adhesives, or fixings are not permitted on the cyclorama surface.

Studio property & damage

All furniture, equipment, props, backdrops, surfaces, and fixtures are owned by SELR Studio. Clients are fully responsible for any damage caused during their booking, including damage caused by guests, vendors, crew, or third parties. Damaged items must be replaced at full current retail value. Repairs are not accepted. SELR Studio's determination of damage and replacement cost is final. Damage invoices are issued within 3 business days and must be paid within 7 days.

Complimentary equipment & furniture

Where SELR Studio provides complimentary furniture or equipment such as chairs, tables, TV, or props, the Client accepts full responsibility for these items during the booking period. Any damage, loss, or theft will be charged at full replacement value. Complimentary items must be returned to their original positions at the end of the booking. Complimentary equipment is subject to availability and may be withdrawn at any time.

Equipment hire

Studio equipment is available for hire and must be booked in advance. Once equipment is booked and paid for, no refunds will be issued for non use. Refunds may be issued if the equipment was faulty or unavailable at the time of booking. Clients must report any equipment faults immediately upon discovery. Clients are liable for any damage to hired equipment during their booking.

Third Party Equipment Hire Due to Damage

If equipment is damaged and temporarily unusable due to client actions, SELR Studio may hire replacement equipment at the Client's expense until repairs or replacements are complete.

Third party vendors

Any third party vendors attending the booking, including but not limited to caterers, photographers, videographers, makeup artists, stylists, AV technicians, or assistants, must be disclosed to SELR Studio prior to the booking. All vendors must comply with these Terms & Conditions. The Client remains fully liable for the actions, conduct, and any damage caused by vendors. SELR Studio reserves the right to refuse entry to any vendor not disclosed in advance.

Guest conduct

Clients are responsible for the behaviour and conduct of all individuals present during their booking. SELR Studio reserves the right to immediately terminate any session or event, without refund, if behaviour is deemed disruptive or offensive, unsafe or hazardous, unlawful, or damaging to studio property. Clients will be held liable for all damage, costs, or claims arising from their guests' actions.

Children & minors

SELR Studio is a professional working environment. Children and minors are only permitted on the premises under the following conditions.

General Access

Children under the age of 18 are not permitted in the studio unless they are the subject of a booked session or are directly supervised by a parent or legal guardian at all times. Unsupervised children are strictly prohibited. SELR Studio reserves the right to refuse entry or terminate any booking where children are left unsupervised.

Parental Responsibility

The parent or legal guardian is solely responsible for the behaviour, safety, and supervision of any child or minor present during the booking. Children must not be left unattended at any time, including in common areas, bathrooms, or outside the studio. SELR Studio accepts no responsibility for the safety or welfare of unsupervised children.

Sessions Involving Minors

Any session or event where a minor is being photographed, filmed, or recorded requires written consent from a parent or legal guardian prior to the session. A parent or legal guardian must remain onsite and present in the studio for the entire duration of any session involving a minor. SELR Studio reserves the right to request identification or proof of guardianship. The Client is responsible for ensuring compliance with all applicable child protection laws.

Damage Caused by Children

The Client accepts full liability for any damage to studio property, equipment, or fixtures caused by children or minors during the booking. This includes accidental damage. Damage will be charged at full replacement value.

Smoking, vaping & prohibited substances

SELR Studio operates a strict smoke free and vape free environment. Smoking of any kind is strictly prohibited anywhere on the premises, including inside the studio, in common areas, at entry points, in bathrooms, and in any outdoor areas forming part of the property. Vaping and the use of e cigarettes is strictly prohibited anywhere on the premises without exception. The use, possession, or distribution of illegal drugs or prohibited substances is strictly prohibited. Any breach of this policy will result in immediate termination of the booking without refund. The Client will be held liable for any cleaning, remediation, or damage costs arising from smoking, vaping, or prohibited substances, including but not limited to smoke damage, odour removal, and fire damage. Minimum remediation fee for smoking or vaping inside the studio is $500 plus GST. SELR Studio reserves the right to report any illegal activity to the relevant authorities.

Prohibited activities

The following activities are strictly prohibited on SELR Studio premises: smoking and vaping as outlined above, illegal drugs or prohibited substances, open flames including candles, incense, and sparklers, fireworks or pyrotechnics of any kind, parties or social gatherings not disclosed and approved as events, alcohol consumption unless pre approved in writing for private events, excessively loud music or noise that disturbs neighbouring premises, any activity that poses a fire risk, any unlawful activity, and any activity that may cause damage to the studio or surrounding property. SELR Studio reserves the right to terminate bookings immediately for any violation of this section, without refund. The Client will be held liable for any costs, damages, fines, or legal fees arising from prohibited activities.

Alcohol (Private Events Only)

Alcohol may be permitted at private events with prior written approval from SELR Studio. Conditions include BYO alcohol only with no commercial sale of alcohol permitted. The Client is responsible for responsible service of alcohol. The Client must ensure compliance with all applicable liquor laws including not serving alcohol to minors. Intoxicated guests may be asked to leave at SELR Studio's discretion. Any damage, injury, or incidents arising from alcohol consumption are the Client's full responsibility. SELR Studio accepts no liability for any incident involving alcohol.

Vehicles, equipment & large props

Clients must notify SELR Studio in advance if vehicles, heavy machinery, or oversized props will be brought into the studio. Written approval is required prior to access. The Client is responsible for any damage caused during transport, setup, or removal. SELR Studio reserves the right to refuse entry to any items deemed unsuitable or hazardous.

Inspections & damage reporting

The studio is inspected before and after every booking. Any unreported damage will be considered to have occurred during the Client's session. Clients must report any existing issues immediately upon arrival with clear photographic evidence sent to admin@selrstudio.com. By commencing your booking, you accept the studio is in satisfactory condition unless otherwise reported.

Assumption of risk

The Client acknowledges that use of the studio, equipment, and facilities involves inherent risks. By entering the premises, the Client and all guests voluntarily assume all risks associated with the use of the studio, including but not limited to the risk of personal injury, property damage, or loss. The Client acknowledges that SELR Studio has advised them of these risks and that they have chosen to proceed with the booking.

Liability & insurance

SELR Studio, its owners, staff, contractors, and affiliates are not liable for personal injury to clients, guests, vendors, children, or any other individuals on the premises. SELR Studio is not liable for loss, theft, or damage to personal property, equipment, clothing, or belongings. SELR Studio is not liable for any indirect, consequential, special, or incidental damages arising from use of the studio. SELR Studio is not liable for any injury, loss, or damage arising from the actions of other clients, guests, or third parties. SELR Studio is not liable for any injury or damage arising from the Client's failure to supervise children or guests.

Insurance Requirements

Clients are strongly encouraged to hold appropriate public liability insurance for their session and all attendees. For events exceeding 20 guests, public liability insurance of at least $10 million is required. SELR Studio may request evidence of insurance prior to confirming event bookings and reserves the right to cancel bookings where adequate insurance is not provided.

Release & waiver

By booking with SELR Studio, the Client, on behalf of themselves and all guests attending the booking, releases and forever discharges SELR Studio, its owners, directors, employees, contractors, and affiliates from any and all claims, demands, actions, or causes of action arising from or in connection with the use of the studio, whether arising from negligence or otherwise, to the fullest extent permitted by law.

Indemnification

By booking with SELR Studio, the Client agrees to indemnify, defend, and hold harmless SELR Studio, its owners, directors, staff, contractors, and affiliates from any and all claims, liabilities, damages, losses, costs, expenses, and legal fees arising from or in connection with use of the studio space, equipment, or facilities, actions or conduct of the Client, guests, vendors, children, or any third parties, property damage or personal injury occurring during the booking, failure to supervise children or minors, breach of these Terms & Conditions, and violation of any applicable laws or regulations. This indemnification extends to claims made by third parties, including guests, vendors, and members of the public.

Privacy & data protection

SELR Studio collects personal data including names, contact information, and payment details via secure third party platforms including GoHighLevel for bookings and communications, and Stripe for payments. Personal data is encrypted, accessible only by authorised staff, and retained only as necessary or as required by law.

CCTV & Surveillance

SELR Studio operates continuous video surveillance in entryways, common areas, and studio spaces for security and property protection. No surveillance is installed in private changing rooms or restrooms. By entering the premises, clients and guests consent to being recorded. Footage may be reviewed or disclosed in the case of disputes, damage, unlawful activity, or insurance and legal claims. Surveillance footage is retained for a limited period unless required longer for investigative or legal reasons.

Your Rights

Clients may request access to, correction of, or deletion of their personal data, subject to legal obligations. Clients may also opt out of marketing communications by contacting SELR Studio.

Force majeure

SELR Studio is not liable for failure to perform obligations due to circumstances beyond reasonable control, including but not limited to natural disasters, pandemic, government restrictions, power outages, extreme weather, or other unforeseen events. In such cases, SELR Studio will offer rescheduling or credit at its discretion. No refunds will be issued for force majeure events.

Disputes & governing law

These Terms & Conditions are governed by the laws of Queensland, Australia. Any disputes arising from these Terms & Conditions or use of the studio will be subject to the exclusive jurisdiction of the courts of Queensland. The parties agree to attempt resolution through good faith negotiation before pursuing formal legal action. The Client agrees to pay all legal costs and expenses incurred by SELR Studio in enforcing these Terms & Conditions or recovering any amounts owed.

Entire agreement

These Terms & Conditions constitute the entire agreement between the Client and SELR Studio. Any prior discussions, representations, or agreements not contained in these Terms & Conditions are superseded. Any variation to these Terms & Conditions must be agreed in writing by SELR Studio.

Amendments

SELR Studio reserves the right to amend or update these Terms & Conditions at any time without notice. The most current version will always be accessible via our booking system or invoice link. Proceeding with a booking or making payment constitutes acceptance of the current Terms & Conditions at the time of booking.

Severability

If any provision of these Terms & Conditions is found to be invalid, unlawful, or unenforceable by a court of competent jurisdiction, the remaining provisions will continue in full force and effect. The invalid provision will be modified to the minimum extent necessary to make it valid and enforceable while preserving the original intent.

Waiver

Failure by SELR Studio to enforce any provision of these Terms & Conditions does not constitute a waiver of that provision or the right to enforce it at a later time.

Acknowledgment & Acceptance

By making a booking, entering the premises, or making payment, the Client confirms that they have read, understood, and agree to be bound by these Terms & Conditions. The Client confirms they have the authority to bind all guests, vendors, and third parties attending the booking to these Terms & Conditions. The Client acknowledges they have been given the opportunity to seek independent legal advice before accepting these Terms & Conditions.
